Copilot Isn’t Magic. Your Data Setup Matters.

Microsoft 365 Copilot can do some pretty impressive things. It can find information, summarise documents, draft content and save your team a lot of time searching through the files they already work with.
But it’s only as good as the information and access you already have set up in Microsoft 365. It doesn’t organise years of files, fix old permissions or know that someone probably shouldn’t still have access to a folder from three years ago.
That part is still up to you.
Think of Copilot as a very fast assistant
Imagine you’ve hired an incredibly efficient assistant. You ask them to find everything you have about a particular client and give you a summary. They head straight to your filing cabinets and start looking.
If those cabinets are organised, clearly labelled and only open to the right people, fantastic. Your assistant finds what you need in minutes.
But what if documents are scattered everywhere? What if there are five versions of the same file? What if confidential information has been sitting in a cabinet anyone can open?
Your new assistant didn’t create those problems. They just made the information much easier to find.
That’s a simple way to think about Copilot.
Copilot works with the access you already have
Microsoft confirms that Copilot works within your existing Microsoft 365 permissions. It can only access information the person using it is authorised to see.
Copilot isn’t deciding who should see a document. Your Microsoft 365 permissions are. So if someone already has access to information they shouldn’t, Copilot doesn’t create that issue, but it can make it far more noticeable.
Put simply: Copilot doesn’t know what you meant to share. It works with what you’ve actually allowed.
What does a good data setup look like?
We’re not suggesting you spend six months reorganising every document your business has ever created. It’s about getting the basics right.
Before rolling out Copilot, it’s worth checking:
- Where your files live: Are important documents in sensible locations, or scattered across SharePoint sites, OneDrive accounts and old folders?
- Who has access: Do staff have access to what they genuinely need for their role, without unnecessary access?
- Old permissions: Are people still members of Teams, sites or folders they no longer need?
- Oversharing: Has anything been shared more widely than intended, such as company-wide links or “anyone with the link” access?
- Outdated information: Is there content that’s no longer current and could lead Copilot to the wrong answer?
- Sensitive information: Are HR, financial and other confidential files properly protected?
Why this matters now
None of these problems are new. A folder may have been open to too many people for years without anyone noticing, simply because nobody went looking.
AI changes how we find information. Instead of clicking through folders, we can just ask. That’s incredibly useful, and it’s exactly why good housekeeping matters more than it used to.
This isn’t a reason to avoid Copilot
Quite the opposite. Rolling out Copilot is a great opportunity to tackle the Microsoft 365 housekeeping that naturally builds up over time.
You don’t need everything to be perfect. You just want confidence that your important information is in the right place, your team can reach what they need, sensitive files aren’t shared too widely and old access has been reviewed.
Before you switch it on, check the foundations
It’s easy to jump straight to licences, prompts and training. But some of the most important work happens before that.
Ask yourself:
- Where is our information?
- Who can access it?
- Is that access still appropriate?
- Would we be comfortable with Copilot helping those people find it more easily?
If that last question makes you hesitate, that’s a good place to start.
Thinking about bringing Copilot into your business?
The team at Nettko can review your Microsoft 365 environment before you roll out Copilot, including how your information is stored, shared and accessed.
Getting value from AI isn’t just about switching it on. It’s about making sure what sits behind it is ready too.
