Are Unused Licences Costing Your Business Money?

Software licences are easy to add and easy to forget. One gets set up for a new starter, another for a project, another for a tool someone wanted to try.
One licence here. Another subscription there. None of it seems like much on its own.
But technology costs have a habit of building up quietly.
Over time, businesses add new software, upgrade licences, change systems and sign up for services to solve a particular problem. What doesn’t always happen is someone going back later to check whether it’s all still needed.
Meanwhile, the bills keep arriving.
Where unused licences hide
A lot of business software is charged per user, so an unused licence can quickly become money spent for no reason.
We also see staff on higher licence levels when a simpler option would do everything they need, or two products doing essentially the same job because nobody was quite sure which one the team actually relied on.
Timing matters too. Many licences are locked into annual terms, which means they can often only be reduced at renewal. If nobody is keeping an eye on those dates, the opportunity can pass and you may be committed for another year.
And it doesn’t stop at software. It’s also worth looking at old mobile or internet services that were never cancelled, and backup or storage plans that are no longer needed.
This is part of the job, not an extra
A good IT provider shouldn’t only be there when something breaks. They should also be keeping an eye on what you’re paying for and whether you still need it.
At Nettko, licences are something we actively manage for our clients, not just something we bill for. That means:
• Checking for licences that are no longer being used
• Flagging users on a higher licence level than they need
• Spotting products that overlap so you’re not paying twice for the same job
• Keeping an eye on renewal dates so changes can be made before another commitment kicks in
• Reviewing licence numbers as your business and requirements change
Sometimes that means recommending something new. Other times, it means finding something a client no longer needs. If there’s an opportunity to save money, we want to pick it up.
Not sure what you’re paying for?
If it’s been a while since someone looked at your licences and asked whether you actually still need everything you’re paying for, it might be time for a review.
